What information do we collect, and why?

We process personal data that you provide to us yourself and data that is automatically collected during your visit to our websites.

When you sign up for the Duke Hotels newsletter, we'll ask for your name and email address. By signing up, you expressly consent to our use of this information for marketing purposes as well, such as:

• sending offers, promotions, and news about Duke Hotels and its affiliated locations;
• tailoring offers to your interests or previous bookings;

Video Surveillance

Video surveillance may be in operation in and around our hotels—for example, in the lobby, hallways, and parking areas—to ensure the safety of guests, employees, and property. Footage is retained for a maximum of 4 weeks, unless it is needed to resolve an incident or to fulfill a legally required report to the appropriate authorities.

Sharing with Third Parties

We share personal data with third parties only to the extent necessary for the purposes listed above, including:

• our booking and property management system, for processing reservations and guest information;
• the party that sends out our newsletter;
• web analytics providers (Google Analytics 4) and, if applicable, advertising platforms;
• payment service providers, for processing payments;
• government agencies, if we are legally required to do so.

We enter into data processing agreements that comply with the GDPR with parties that process personal data on our behalf. We never sell your data to third parties.

Transfer of Data Outside the EEA

Some parties with whom we collaborate (such as Google Analytics and any advertising partners) may process data outside the European Economic Area, for example, in the United States. In such cases, we ensure appropriate safeguards, such as the European Commission’s Standard Contractual Clauses.

Retention Periods

We do not retain personal data for longer than is necessary for the purposes for which it was collected:

• Booking and stay information: in accordance with the statutory 7-year tax retention requirement.
• Newsletter information: until you unsubscribe.
• Contact form data: up to 2 years after the last contact, unless a longer retention period is required by law.
• Application data: up to 4 weeks after the conclusion of the process, or 1 year with your consent.

Your Rights

Under the GDPR, you have the right to access, correct, delete, and restrict the processing of your personal data, the right to object to the processing, and the right to data portability. You may also withdraw any consent you have previously given at any time.
